FTC HUB Privacy Policy

FTC HUB is a team management application designed for FIRST Tech Challenge (FTC) robotics teams. We are committed to protecting your privacy and handling your personal information responsibly.
1. Age Requirement
You must be at least 13 years old to use FTC HUB. If you are under 13, you may not create an account or use this application. If we discover that a user under 13 has created an account, we will immediately delete that account and all associated data.
2. Information We Collect
2.1 Account Information
When you create an account, we collect:
- Name (first and last)
- Email address (required for account creation and communication)
- Date of birth (to verify age requirement)
- Optional contact information (phone number, emergency contact, if provided)
2.2 Team Data
When you join or create a team, we collect:
- Team membership information (your role, responsibilities, experience badges)
- Team roster data (names and roles of team members you add)
- Emergency contact information (if provided for safety purposes)
2.3 Competition & Performance Data
We store data you create while using the app:
- Scouting reports (match observations, team performance notes)
- Match schedules (event dates, times, opponents)
- Task assignments (to-do items, project management data)
- Team events (practice sessions, meetings, competitions)
- Inventory data (parts, quantities, locations)
- Budget and order information (financial tracking data you enter)
2.4 Device & Technical Information
For app functionality and troubleshooting, we collect:
- Device information (iOS version, device model)
- Crash logs and error reports (to fix bugs and improve stability)
- Usage analytics (only if you enable telemetry in Settings → Analytics & Diagnostics)
2.5 What We Do NOT Collect
We do not collect:
- Precise location data (GPS coordinates)
- Financial payment information (credit cards, bank accounts)
- Advertising identifiers (IDFA)
- Biometric data
- Health or medical information
3. How We Use Your Information
3.1 Core App Functionality
We use your information to:
- Authenticate your account and provide secure access
- Enable team collaboration (share schedules, tasks, scouting data)
- Store and organize your data (reports, inventory, events)
- Send notifications (event reminders, task deadlines, if enabled)
- Sync data across your devices (when you sign in on multiple devices)
3.2 Team Management
- Display team rosters to authorized team members
- Enable role-based access (coaches, captains, members have different permissions)
- Facilitate team operations (scheduling, task management, inventory tracking)
3.3 Support & Maintenance
- Respond to support requests you submit
- Fix bugs and crashes using error reports
- Improve app performance using anonymous analytics (if enabled)
3.4 Legal Compliance
- Comply with applicable laws and regulations
- Respond to legal requests (if required by law)
4. Data Sharing & Third-Party Services
4.1 We Do Not Sell Your Data
We do not sell, rent, or trade your personal information to third parties for advertising or marketing purposes.
4.2 Third-Party Service Providers
We use the following services to operate the app:
These services are required for the app to function. Each provider maintains its own privacy policy and security practices.
4.3 Team Data Sharing
- Your data is visible to your team members (coaches, captains, and other members you invite)
- Team administrators (coaches, captains) can view and manage team data (schedules, tasks, inventory, scouting reports)
- Important: Team administrators cannot see your password or other sensitive authentication information. Passwords are encrypted and only accessible by you.
- Permissions are fixed and based on your role (admin, editor, readonly) and team role (coach, captain, member). These permissions cannot be customized.
- You control who can see your data by managing team membership
4.4 Legal Requirements
We may disclose your information if required by law, court order, or government regulation.
5. Data Security
We implement industry-standard security measures to protect your data:
- Encryption in transit (HTTPS/TLS for all data transmission)
- Encryption at rest (data stored securely in Supabase)
- Authentication required (you must sign in to access your data)
- Row-level security (database policies restrict access to authorized users only)
- Regular security updates (we keep our systems up to date)
However, no method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
6. Data Retention & Deletion
6.1 Active Accounts
- Your data is retained while your account is active and your team uses the app
- Inactive accounts may be deleted after 12 months of inactivity
6.2 Account Deletion
You can delete your account at any time:
- In-app: Settings → Account → Delete Account
- What gets deleted:
- Your profile and personal information
- Your scouting reports, tasks, and events
- Your team membership (you'll be removed from teams)
- What may remain:
- Team data you created (may remain for other team members)
- Historical records required for team operations
Note: Once deleted, your account cannot be recovered. You will not be able to sign up again with the same email address.
7. Your Rights & Choices
7.1 Access & Correction
- View your data in the app at any time
- Update your profile via Settings → Profile
7.2 Deletion
- Delete your account at any time (see Section 6.2)
- Request data deletion by emailing us (see Contact section)
7.3 Opt-Out Options
- Disable notifications in Settings → Notifications
- Disable analytics in Settings → Analytics & Diagnostics
7.4 California Privacy Rights
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):
- Right to know what personal information we collect
- Right to delete your personal information
- Right to opt-out of the sale of personal information (we do not sell your data)
8. Children's Privacy
FTC HUB is designed for users 13 years and older. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child under 13 has provided us with personal information, please contact us immediately. We will delete such information and the associated account.
For users 13-17: We recommend that parents or guardians review this privacy policy and discuss online safety with their children. Team administrators (typically adult mentors) are responsible for managing team membership and ensuring appropriate use of the app.
9. International Users
FTC HUB is operated from the United States. If you are using the app from outside the United States, please be aware that:
- Your data may be transferred to and stored in the United States
- Data protection laws in your country may differ from U.S. laws
- By using the app, you consent to the transfer of your data to the United States
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make changes:
- We will update the "Last updated" date at the top of this policy
- We will notify team administrators of significant changes via email or in-app notification
- Continued use of the app after changes constitutes acceptance of the updated policy
We encourage you to review this policy periodically.
